Job Summary

The Accounts Payable Officer is responsible for managing and processing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner. This role includes verifying and reconciling invoices, processing payments, maintaining vendor relationships, maintaining petty cash disbursements and floats and ensuring accurate data entry.

Principal Duties and Responsibilities

1. Maintain proper filing systems and ensure filing is done as requested.

2. Assists in other responsibilities in the Accounting Department as required.

3. Any other duties as assigned by the supervisor.

4. Invoice Processing: Receive, review, and verify invoices and check requests, ensuring accuracy and compliance with company policies.

5. Payment Documentation: Collate payment documents, purchase orders, and invoices for payment processing.

6. Data Entry: Accurately enter and update financial data into the accounting system, ensuring all information is complete and correct.

7. Payment Processing: Prepare and perform check runs, wire transfers, and ACH payments.

8. Reconciliation: Reconcile accounts payable transactions and monitor accounts to ensure payments are up to date.

9. Cheque Preparation: Prepare cheques for payments, ensuring all required approvals are obtained.

10. Vendor Management: Maintain and update vendor files, ensuring all information is accurate and current.

11. Reporting: Generate monthly accounts payable reports for management, Monthly bank reconciliations and preparation of VAT returns.

12. Issue Resolution: Research and resolve invoice discrepancies and issues, communicating effectively with vendors and internal departments.

13. Compliance: Ensure compliance with applicable laws and company policies in all accounts payable functions.

14. Support: Assist with month-end closing processes and year-end audit.

MINIMUM QUALIFICATIONS AND EXPERIENCE

· Level 2 ACCA and/or other Accounts-related discipline.

· Minimum of two (2) years experience in payables function.
