Role Description

Create, draft, revise, update, and format management system documents, including policies, procedures, manuals, forms, records, and reports.

Ensure all documents comply with organizational standards and applicable management system requirements (e.g., ISO standards, internal policies).

Maintain document version control, ensuring only current and approved documents are available for use.

Review documents for accuracy, completeness, consistency, and proper formatting before approval and distribution.

Organize, manage, and maintain both electronic and hard-copy document filing systems in a structured and traceable manner.

Track document status (draft, review, approval, revision, obsolete) and maintain document registers and logs.

Coordinate with process owners and department heads to collect inputs, updates, and approvals for documents.

Ensure timely completion and submission of documentation in accordance with agreed deadlines.

Distribute controlled documents to relevant personnel and ensure obsolete documents are removed from circulation.

Support audits (internal and external) by providing requested documentation and records promptly.

Prepare presentations, reports, and dashboards using Microsoft Word, PowerPoint, Excel, and Power BI as required.

Utilize Microsoft Teams for collaboration, document sharing, communication, and tracking tasks.

Monitor document review cycles and initiate updates as required.

Maintain confidentiality and data integrity of all management system documents.

Assist in improving document control processes and administrative efficiency.

Provide guidance to staff on document control requirements and best practices.

Qualifications

Experience in Document Management, Documentation, and Project Documentation
Expertise in Records Management, ensuring accurate organization and compliance
Strong Communication skills to collaborate effectively with team members and stakeholders
Attention to detail and organizational skills to manage and maintain documentation and records
Knowledge of ISO standards and compliance requirements is highly desirable
